Working Hours:

Full Time (37.5 hours per week) plus reasonable additional hours as necessary in the proper performance of duties.

Base Location:

Crawley Business Centre with occasional regional / national travel.

Main Purpose of the role:

  • To assist the Operations Manager and Senior Team members (including Willow), providing responsive, personalized administrative support in a well-organized and timely manner;
  • To complete a full range of administration duties as required for the efficient running of the business;
  • To provide cross-organizational, comprehensive administrative support to ensure a smooth transition and integration in terms of sales administration between Metro Rod and Willow Pumps Ltd.

Responsibilities include:

  • Act as the single point of contact between the Senior Teams (at Willow and MRB) and internal / external clients;
  • Log all new enquiries onto relevant systems (including) ensuring all follow documentation is up to date and fit for purpose;
  • Log all completed quotes onto relevant database's – including click & provide call backs for sales representatives to follow up on;
  • Liaise with outside sales representatives to ensure they are on top of quote chasing / follow ups;
  • Provide administration support to both internal & external sales people;
  • Identify new scheme / projects through Glenigan leads and pass to sales representatives;
  • Liaise with marketing department (Willow) / Central Marketing (Metro Rod Ltd) to assist with any marketing campaigns;
  • Liaise with the sales department and other departments in the Kent office;
  • Undertake the tasks of receptionists, take messages and routing correspondence;
  • Maintain diaries, arrange meetings and appointments and provide reminders;
  • Make travel arrangements;
  • Take minutes and accurately enter data;
  • Produce reports, presentations and briefs;
  • Liaising with external provider to obtain new key cards and addressing any other concerns with security;
  • Maintaining the reception area in terms of presentation and ensuring parking policy is adhered to;
  • Ordering lunch and other catering options for board and customer meetings;
  • Ordering office supplies;
  • Preparing outgoing post and distributing incoming post;
  • Dealing with onsite contractors;

Skills/Experience required:

  • Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position;
  • Full comprehension of office management systems and procedures;
  • Excellent / Advanced knowledge of MS Office;
  • Highly literate and numerate;
  • Able to deal with staff at all levels;
  • Pro-active / can do attitude;
  • Able to work collaboratively, as part of cross functional team;
  • Exemplary planning and time management skills;
  • Ability to multitask and prioritize daily workload;
  • High level verbal and written communications skills;
  • Positive attitude;
  • Ability to work in a transitional environment and manage change;
  • Flexibility in attitude;
  • Ability to work additional / out of hours with reasonable notice;
