Job Summary:
We are seeking a dedicated and compassionate Human Resources Administration Apprentice to join our team and assist with the day-to-day administrative tasks and running of the HR department. You will play a vital role in providing exceptional administration service and ensuring that our employees receive prompt and accurate assistance. Your excellent communication skills, attention to detail, and empathy will be essential in effectively addressing client needs and maintaining a high level of client satisfaction.
Key Responsibilities:
- Scanning and Filing. Scan and file letters, contracts, and other HR documents to maintain organised and up to date records
- Document preparation. Prepare letters and other documents as required by the HR team
- Calendar Management. Schedule and coordinate probation meetings and other HR related appointments in the calendar
- Onboarding Assistance. Assist with the onboarding process for new employees, including preparing onboarding materials and coordinating orientation sessions
- Data Entry. Input and update employee information in HR databases and systems
- General Administrative Support. Provide admin support to the HR team, including answering phones, responding to emails, and handling inquiries
- Compliance. Ensure all HR activities comply with company policies and legal requirements
- Attend training sessions and participate in ongoing professional development activities to enhance job knowledge and skills
The successful candidate will be/have:
- Strong communication skills, both verbal and written, with the ability to effectively convey information to clients and colleagues
- Active listening skills to understand client needs and provide appropriate solutions
- Excellent organisational skills and attention to detail to accurately record and manage client information
- Empathy and patience to address client concerns and provide support in a compassionate manner
- Ability to navigate computer systems and proficiency in using call center software, databases, and standard office applications, including Microsoft Office packages, beneficial
- Ability to multitask and work in a fast-paced environment, while maintaining a high level of accuracy and professionalism
- Problem-solving skills to handle challenging situations and find appropriate resolutions
